Description: This role includes responsibilities for managing front desk operations, greeting and helping visitors, answering and directing calls, scheduling appointments, and maintaining a professional and organized workspace. Specifically, tasks involve management of operational aspects, including coordination of our front lobby activities of greeting visitors, volunteers, and delivery vendors, gathering and processing US postal mail daily. Additionally, this role monitors our office supplies, and coordinates with the Executive Director to order and resupply as needed. This role coordinates with the Development & Communications Director to support donor relations and event planning as needed.

The Front Desk Associate & Office Manager will comport all aspects of his/her job in alignment with these values.
Responsibilities:
- Welcoming and assisting visitors by providing information and ensuring a positive first impression
- Directing clients based on posted appointments scheduled and volunteers by Direct Assistance, Furniture, and Development areas based on information provided by department service coordinators
- Opening, stamping, and distributing incoming and outgoing mail, and package deliveries
- Supporting office operations with administrative tasks such as filing, copying and conference room scheduling
- Monitoring office supplies, and placing orders as needed and tracking inventory to avoid shortages
- Communicating with department service coordinators and community contacts to improve daily operations and resolve inquiries
- Working with volunteers and department coordinators to update the volunteer resource guides and keep both the on-line version and the rack copies current.
- Share responsibility with all staff in keeping the front desk area and facility tidy and professional, ensuring it reflects the organization’s standards
- Support other team members in their program and donor outreach, as needed, such as producing thank you letters for donations, maintaining donor records and database/mailing list, work at major fundraising events, etc.
- Share responsibility for volunteer recognition events
- Other duties as assigned
Knowledge, Skills & Abilities:
● Excellent personal and customer service skills.
● Excellent verbal and written communication skills.
● Demonstrated ability to manage vendors and vendor contracts.
● Ability to plan and manage multiple projects simultaneously.
● Ability to operate personal computers, copiers, and faxes.
